The Virtual Laundry modules offer a flexible system that can be easily tailored to the unique needs of any laundry operation.
Discover the module DemoFor each type of laundry, such as workwear or hospitality textiles, planning boards are linked. Prior to this process, the timing is assessed to ensure the laundry is processed on the planning boards in time for the departing route. With this setup, (new) customers are automatically scheduled based on the type of laundry and the route schedule. Progress from previous planning boards is visible, and planning boards can be synchronized so that, for example, the packing department starts only after all previous departments are completed.
With our route schemes, you can easily manage all necessary information for routes and drivers. You can input start times, loading and unloading times, and end times. The module allows for address details, phone numbers, and driver notes. For each department, you specify the frequency of pickups and/or deliveries, such as for a call-in customer, and indicate the packaging and types of laundry involved. The routes serve as the starting point for your production process, which is reflected in the planning boards.
In production, quantities of items or kilograms per customer department can be entered on the planning boards. This input can occur at multiple workstations, with the system automatically tracking the average of the last five deliveries and signaling deviations. Packing lists can be customized with logos and layouts per customer and can be printed individually or in bulk for multiple customers or entire routes. It's also possible to register quantities at the wearer/resident level.
Instructions can be created for each customer/department and machine/process. These instructions can be fully formatted and include images/photos/videos. They are displayed on the planning boards. In addition to these instructions, notifications can be entered within Virtual Laundry, such as customer complaints requiring extra alertness from staff. These notifications can be shown on one or more planning boards, route schemes, packing slips, or invoices.
The Barcode/Chip registration module allows for scanning, creating, and printing barcodes and chips at department, carrier, or resident levels. The system supports both barcodes and chips, which can be used interchangeably. In addition to scanning in and out, sorting layers can be performed, and automatic signals set with the ability to configure the scan sequence. Scans can be assigned to packing slips and printed for invoicing. The creation of packing slips is automated through scanning and signaling actions and the processing of scans. All scanning functions can be easily made available to the customer, outsourcing this task.
With the "Calculate repairs" module, repairs can be automatically charged. You can choose whether to calculate the cost as a fixed amount or based on the time taken per minute.
The Automatic signals module places a signal on a barcode/chip after a specified number of washes. A scan position and signal type can be selected per customer. Barcodes/chips can also be automatically deactivated. In cases of changes, such as a wearer moving to a different department, a signal like "relabel" can be automatically set.
In addition to scanning in the laundry, barcodes/chips can also be scanned, created, or residents/wearers updated on-site (e.g., at a customer location). All that’s needed is a computer with internet access! As the laundry provider, you decide which functionalities your customer can access. With the VL-App, it is also possible to scan activities offline, without an internet connection.
The sorting module is designed to seamlessly integrate with various sorting systems, such as sorting cabinets, carousels, or racks. You can preset how the system should sort to optimize the workflow for your specific machines. Staff have real-time visibility of the progress of scanned items and their current location in the process, ensuring a smooth and organized sorting process.
The invoicing module generates invoices based on packing lists. Besides registered items and kilograms, fixed costs like transportation fees and minimum amounts for routes or invoices per customer can be set. Customers can receive a personalized invoice layout, with the option to send invoices digitally in PDF, XML, Peppol, or X-Rechnung formats. Additionally, debtor and financial bookings can be exported to any desired accounting package.
This module enables you to input fixed deliveries per customer or department, specifying the number of items per day/route. If not everything can be delivered, the system tracks outstanding mutations and automatically adjusts them in the next delivery. Items can be delivered in bundles, with the system accounting for the number of bundles to be delivered. Customer counts/orders must be provided and are required before a packing list can be printed, with real-time updates on the production floor. If the linen is equipped with a chip, incoming counts can be automatically processed on the packing list.
This module manages the clothing inventory to ensure customers always have access to needed clothing. Customers can manage their inventory via the web portal, where they can also place orders for available items. Each item is marked as orderable, including colors, sizes, and qualities. Orders are automatically processed, including barcode printing and inventory updates.
Virtual Laundry offers extensive reporting capabilities with around 200 different reports that can easily be exported to Excel, printed as PDFs, and emailed directly. Through data analysis, we can create customized tables and analyses that provide real-time insights. These reports and analyses can be tailored to meet specific needs.
This module provides comprehensive tools for managing residents and wearers in your laundry, allowing you to easily set up necessary barcode/chip data and invoicing per resident. The system automatically generates invoices based on predefined options, with the ability for full, partial, or no billing. On the work floor, packing slips can be created per resident and printed in bulk, enhancing process efficiency.
This module provides the customer with access to a secured part of their data. The laundry can determine which functionalities are available to each customer. Some features include requesting reports, counting and ordering, creating barcodes/chips, managing residents/wearers, and stock management.
The remote access login allows customers to access the laundry's back office, with read and write rights set to determine what they can do. Customers can retrieve reports like the laundry itself, relieving administrative burden. They can also manage and create carriers, cabinets/racks, and barcodes. Additionally, customers can export grids to Excel to view current carriers or filled cabinets/racks without involving the laundry.

Business intelligence in the laundry improves operational efficiency by processing real-time data on clothing inventories, deliveries, and production processes. By comparing and analyzing dynamic data with BI, we can identify trends and predict future changes, such as new customers or machines.
